About The Position

The Illinois Department of Transportation is seeking to hire an Office Coordinator. The successful candidate will perform technical secretarial, office support functions relating to the Bridge operation, inspection and maintenance duties assigned to the section, provides clerical support to section staff. This position responds to numerous telephone inquiries in English and Spanish.

Requirements

  • Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires ability to keyboard accurately at 30 WPM.
  • Requires ability to speak, read, and write Spanish at a colloquial level.
  • Successful completion of a background screening.

Nice To Haves

  • Prefers computer skills which include word processing and spreadsheets.
  • Prefers ability to compose and edit letters and reports for proper grammar, and clarity, as well as ensuring all work is done in accordance with IDOT standards.
  • Prefers database skills are needed to successfully query data and enter the data into reports.
  • Prefers extensive knowledge of office practices, procedures, and programs.
  • Prefers ability to communicate fluently in spoken Spanish using professional and formal language.

Responsibilities

  • Performs duties including composing and typing correspondence for the Bridge section and the Operations sections.
  • Prints, sorts, and files all bridge section correspondence; both physical copies and electronic copies.
  • Utilizes various computer programs including I-Roads, Illinois Highway Information System (IHIS), Structure Information Management System (SIMS), etc. to look up bridge information like structure numbers, lengths, and other physical characteristics to reply to various enquiries, or for entry into reports.
  • Receives all Bridge section mail and distributes to appropriate section personnel, prioritizing for the Section Chief that mail which requires immediate attention and handling routine matters with great independence.
  • Prepares reports and spreadsheets for various programs including Contract Maintenance, Bridge Paint Program, Multi-Year Program (MYP) additions, etc.
  • Serves as the back up to the bureau receptionist and primary receptionist for Spanish speakers.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
