About The Position

The Illinois Department of Transportation is seeking to hire an Office Coordinator. The successful candidate will perform technical secretarial and office support functions related to the Bridge operation, inspection, and maintenance duties assigned to the section, providing clerical support to section staff. This position responds to numerous telephone inquiries in English and Spanish.

Requirements

  • Knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Ability to keyboard accurately at 30 WPM.
  • Ability to speak, read, and write Spanish at a colloquial level.

Nice To Haves

  • Computer skills which include word processing and spreadsheets.
  • Ability to compose and edit letters and reports for proper grammar and clarity, as well as ensuring all work is done in accordance with IDOT standards.
  • Database skills are needed to successfully query data and enter the data into reports.
  • Extensive knowledge of office practices, procedures, and programs.
  • Ability to communicate fluently in spoken Spanish using professional and formal language.

Responsibilities

  • Composing and typing correspondence for the Bridge section and the Operations sections.
  • Printing, sorting, and filing all bridge section correspondence, both physical and electronic copies.
  • Utilizing various computer programs including I-Roads, Illinois Highway Information System (IHIS), Structure Information Management System (SIMS), etc., to look up bridge information like structure numbers, lengths, and other physical characteristics to reply to various inquiries, or for entry into reports.
  • Receiving all Bridge section mail and distributing it to appropriate section personnel, prioritizing mail that requires immediate attention for the Section Chief and handling routine matters with great independence.
  • Preparing reports and spreadsheets for various programs including Contract Maintenance, Bridge Paint Program, Multi-Year Program (MYP) additions, etc.
  • Serving as the back-up to the bureau receptionist and primary receptionist for Spanish speakers.
  • Performing other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
