About The Position

We are looking for an enthusiastic, detail-oriented Office Coordinator to join our Colony Square team. The Office Coordinator must be a team player with a positive attitude and demonstrate flexibility in a high business volume environment. The ideal candidate will be able to display strong customer service skills and experience, along with presenting themselves in a professional and courteous manner.

Requirements

  • Minimum 2-3 years administrative experience, preferably in property management.
  • Strong organizational and planning skills required.
  • Exceptional communication and interpersonal skills with a customer-service focus.
  • Ability to competently utilize Microsoft Word, Excel, PowerPoint and Outlook
  • All computer applications and hardware related to performance of the essential functions of the job.

Responsibilities

  • Act in accordance with the organization’s policies, goals, objectives and core values.
  • Assist with Tenant onboarding and Tenant Inspections
  • Manage MARTA Partnership program
  • Inputs/verify update tenant service calls into workorder system and ensures requests are handled within a timely manner and billed, if applicable.
  • Provide front desk coverage through answering main phone lines timely and greeting guests in a professional, courteous manner.
  • Ensure that tenant contact info and Certificate of Insurance information is always up to date.
  • Type correspondence, memos, reports
  • Upload Leases and Amendments
  • Assist the accounting department by coding vendor invoices and entering Tenant sales figures
  • Assist the Marketing team with email distribution and tracking invoices
  • Order and maintain inventory of office supplies and equipment.
  • Ensure office presentation is always professional, including conference rooms.
  • Develop and maintain positive relations with retailers and vendors with regular check-ins
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Distribute mail
  • Ensure that all tasks are performed within established guidelines to exceed expectations for efficiency, quality, and timeliness.
  • Other responsibilities as requested.
