About The Position

Baskervill is an architecture, engineering, and interior design practice with a 130-year legacy of shaping some of the country's most recognizable workplaces, hotels, campus buildings, healthcare facilities, and much more. Our Richmond office is currently looking for a full-time Office Coordinator to join our team! The Office Coordinator is a central role supporting office operations for 150+ on-premises staff, and includes day-to-day office operations and administrative tasks, guest and client hospitality, and facility maintenance. We are looking for an individual who is detail-oriented, reliable, highly organized, loves working with people, and is constantly finding ways to make an award-winning Great Place to Work even better.

Requirements

  • High school diploma or GED
  • 2+ years of office support and/or experience in a professional office environment
  • General knowledge of office procedures
  • Proficiency in Microsoft 365
  • A positive attitude and exceptional customer service-style demeanor
  • Strong verbal and written communication skills and the ability to communicate effectively with internal teams and external clients, vendors and guests
  • Experience working as part of a team
  • Availability to work in office 8am – 5pm, Monday – Friday
  • The ability to lift up to 30 pounds
  • The ability to travel locally in the Richmond region as needed

Responsibilities

  • Serve as the firm’s first point of contact by answering phones and emails, greeting visitors, and providing parking validation
  • Coordinate the Lunch & Learn program, including scheduling, vendor communication, and meeting setup
  • Maintain office records such as PTO calendars, seating charts, access cards, parking logs, and equipment inventories
  • Manage incoming and outgoing mail, packages, courier services, and shipment tracking
  • Maintain front office, conference rooms, kitchen and common areas, and oversee sample returns and recycling efforts
  • Conduct office inspections to ensure cleanliness and organization, and address facility maintenance issues
  • Manage office supplies, including ordering, stocking, and usage tracking
  • Provide administrative support as requested, including data entry and document preparation
  • Coordinate employee offboarding logistics, including workspace cleanup and asset recovery
  • Assist with meeting logistics, including room setup, catering, and hospitality needs
  • Support the Office Manager with maintenance coordination and other administrative tasks as needed
