About The Position

The Illinois Department of Natural Resources is seeking to hire an Office Coordinator for the Office of Land Management. This position will act as a liaison and maintain records and files for all sites and satellites; orally or in writing, explains procedures, rules and regulations, and/or services to contractors, vendors, other parks, and the public; gathers information and prepares documents and reports; will maintain holiday and work schedules; make independent decisions on the release of confidential information; prepare documents and reports for hunting, fishing, and recreational programs such as blind cards or permits including activity, metal detecting, hunting and research; provide guidance to staff regarding various software applications and computer system operations; and maintain filing system on site correspondence, forms, legal documents, maps, financial records, and property control. Requirements

  • Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires ability to keyboard accurately at 30 wpm.
  • Requires completion of a background check and self-disclosure of criminal history.
  • Requires appropriate, valid Driver’s license.
  • Requires ability to travel to satellite sites in performance of duties, when needed.

Nice To Haves

  • Extensive knowledge of basic mathematics.
  • Working knowledge of the logic of computer programs.
  • One (1) year of experience having the ability to follow oral or written instructions.
  • One (1) year of extensive knowledge of composition, grammar, spelling, and punctuation.

Responsibilities

  • Act as a liaison and maintain records and files for all sites and satellites.
  • Orally or in writing, explain procedures, rules and regulations, and/or services to contractors, vendors, other parks, and the public.
  • Gather information and prepare documents and reports.
  • Maintain holiday and work schedules.
  • Make independent decisions on the release of confidential information.
  • Prepare documents and reports for hunting, fishing, and recreational programs such as blind cards or permits including activity, metal detecting, hunting and research.
  • Provide guidance to staff regarding various software applications and computer system operations.
  • Maintain filing system on site correspondence, forms, legal documents, maps, financial records, and property control.
  • Under direction of the Site Superintendent, performs complex, specialized office support function duties for Red Hills, Newton Lake, Crawford County FWA, Sam Parr, and other sites as assigned.
  • Assists with preparation of operational budgets, equipment requests, and inventory records.
  • Serves as timekeeper for assigned sites and staff.
  • Prepares complex correspondence and memos from written and dictated instruction, including safety issues, questionnaires, department information and numerous detailed information requests from visitors and other agencies.
  • Develops complex, multi-program databases, spreadsheets, forms, and applications for fast and efficient completion of routine reports.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
