This Office Coordinator role offers a great opportunity for a diligent individual to join our team. The position encompasses receptionist duties and provides support for branch functions such as shipping, deliveries, purchase orders, and coordinating meetings hosted by the Las Vegas branch.

Requirements

  • Strong customer service skills and interpersonal communication skills.
  • Strong verbal and communication skills to respond to correspondence.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills and attention to detail.
  • Ability to prioritize needs in a fast-paced environment.
  • Ability to maintain confidentiality.

Responsibilities

  • Answer phone calls and ensure each call is transferred to the appropriate party while backing up the receptionist.
  • Greets and screens visitors, routing them to appropriate area or person.
  • Coordinates meetings by booking conference room, making sure necessary IT supplies are available and operational, and coordinating catering.
  • Provide administrative support to all corporate and supply chain departments.
  • Manages the booking of conference and training rooms and ensures that the rooms are ready for use.
  • Monitors the interior building and the exterior grounds and coordinates with the facilities team to ensure that all areas are appropriately maintained.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Prepare outgoing mailing and postal billings.
  • Scanning & data entry of will call tickets.
  • Orders and maintains office supplies while remaining within budget.
  • Arranges for equipment maintenance of cleaning service, vending machines, water coolers, etc.
  • Coordinates with IT to ensure that all office equipment is functioning appropriately.
  • Coordinates office activities.
  • Other duties may be assigned.
