The ideal candidate is organized, personable, service-oriented, and comfortable managing multiple priorities in a fast-paced office environment. This is an on-site role with responsibility for helping ensure the office operates efficiently and provides a positive experience for colleagues and visitors. The Office Coordinator supports the day-to-day operation of the office and serves as the primary front-desk and office support resource. This role executes day-to-day office activities and helps ensure a professional, organized, and welcoming office environment while supporting facilities, vendors, supplies, office logistics, and colleague engagement activities.

Requirements

  • Associate degree required; bachelor's degree preferred.
  • 2 to 4 years of experience in office coordination, administrative support, reception, customer service, or related roles.
  • Experience in a professional, corporate, or customer-facing office environment preferred.
  • Experience supporting a fast-paced, multi-person office preferred.
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, and PowerPoint).
  • Ability to work on-site as the primary office presence.
  • Strong customer service skills and a welcoming, professional approach.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities and adapt to changing needs.
  • Professional judgment, discretion, and confidentiality.
  • Effective written and verbal communication skills.
  • Dependable, collaborative, and service-oriented.
  • Ability to work independently while knowing when to escalate issues or seek guidance.

Responsibilities

  • Support day-to-day office operations, helping keep the office functional, organized, and ready for daily use.
  • Maintain conference rooms, kitchens, and shared spaces to ensure they are organized, stocked, and ready for daily use.
  • Order, track, and maintain office inventory, supplies, equipment, and related materials.
  • Serve as the primary office contact for vendors, building management, and service providers, coordinating routine requests and support needs.
  • Submit and track maintenance requests, repairs, inspections, and other facility-related needs.
  • Coordinate workspace, building access, onboarding, offboarding, and office logistics in partnership with HR, IT, and hiring managers.
  • Maintain office records, vendor information, and established office procedures and checklists.
  • Serve as the first point of contact for visitors, candidates, vendors, and colleagues, providing a professional and welcoming experience.
  • Manage incoming calls, office inboxes, mail, deliveries, and general inquiries.
  • Coordinate meeting logistics, including room scheduling, room setup, technology, catering, and meeting materials.
  • Assist with hospitality and logistics for client, carrier, vendor, candidate, and other office visits.
  • Provide day-to-day administrative support and help direct colleague questions to the appropriate resources.
  • Maintain visitor logs, badges, and office access records.
  • Support office recordkeeping, filing, and other administrative activities.
  • Coordinate colleague recognition and milestone celebrations, including birthdays, anniversaries, retirements, and other team acknowledgements.
  • Assist with colleague engagement activities that support a positive office environment.
  • Coordinate logistics for internal meetings, team gatherings, celebrations, and office events.
  • Support Marketing-led client and prospect events through on-site logistics, hospitality, and event coordination.
  • Coordinate on-site logistics for carrier meetings, training sessions, and other business activities hosted in the office.
  • Perform other duties as assigned; Support special projects, office initiatives, and other activities as assigned by the Operations lead or supervisor.
