About The Position

The office coordinator is a pivotal role, who provides exceptional customer service with their welcoming and friendly demeanor that leaves a lasting impression on clients and guests. As the first point of contact, they are responsible for greeting guest, facilitating client appointment and meeting room coordination whilst applying a concierge-style service. They are responsible for managing all aspects of front-office operation and providing support to internal team.

Requirements

  • High school diploma or equivalent (required)
  • Ability to pass a background check
  • A valid driver’s license and the ability to travel on occasion as needed
  • The ability to obtain a State of Oklahoma Title Insurance License is required within your first 6 months of employment – the company will provide assistance if needed
  • Previous office experience preferred
  • 1-3 years of related work experience is preferred
  • Basic computer skills and knowledge of Google Suite and/or Microsoft Suite
  • Ability to provide outstanding customer service
  • Dependability, strong work ethic and punctuality
  • Excellent verbal and written communication skills
  • Ability to learn quickly and thrive in a fast-paced environment

Responsibilities

  • Welcome and coordinate client appointment and guests
  • Maintain front-office order and lobby preservation
  • Promptly addressing incoming calls
  • Facilitate shipping and receiving business parcels
  • Receipt incoming contracts and accurately record earnest money deposits
  • Performing clerical duties such as filing, faxing, mailings, etc.
  • Supply inventory monitoring
  • Accurately entering data that includes customer and business-related information
  • Communicating effectively with customers, vendors, office staff and other business partners
  • Maintaining operations by following policies and procedures; reporting needed changes
  • Other duties as assigned
