About The Position

The Office Coordinator plays a key role in supporting operational consistency across all Lighthouse locations by ensuring offices are organized, professional, and aligned with company standards. While based at Corporate Headquarters, this role serves as the central coordinator for office operations, facilities communication, and administrative standards across all offices. Serve as the primary point of contact at Corporate Headquarters by welcoming guests, clients, vendors, and partners and ensuring a professional and consistent experience that reflects Lighthouse’s brand. Manage front desk operations including answering and directing calls, handling general inquiries, and maintaining a professional reception environment. Oversee ordering, stocking, and inventory management of office and kitchen supplies for Corporate Headquarters and support standardization of supply processes across all locations. Coordinate conference room scheduling and meeting logistics for clients, leadership, and external vendors across locations when needed, ensuring rooms are properly prepared and supported. Establish and maintain office operations standards across all Lighthouse locations, including supply processes, vendor coordination expectations, signage consistency, and shared space organization Partner with satelite office contacts to ensure alignment with corporate office standards and escalate needs when appropriate. Coordinate incoming and outgoing mail, shipments, and corporate materials distribution across offices. Serve as the central liaison between Lighthouse and facilities partners, property managers, and service vendors across locations. Track maintenance needs, service requests, and vendor performance to ensure timely resolution and consistent building operations. Maintain centralized records of office leases, vendor contracts, service agreements, and facility contacts. Support office expansions, relocations, and new office setup by coordinating logistics, vendors, furniture, and operational readiness. Support corporate leadership and departments with administrative coordination as needed, including scheduling, meeting preparation, and internal event logistics. Assist in coordinating corporate-hosted meetings and events to ensure seamless execution and hospitality standards. Identify opportunities to improve workplace experience, operational flow, and consistency across offices. Develop and maintain office operations processes, checklists, and standard operating procedures to promote efficiency and scalability as the company grows. Promote a welcoming, organized, and service-oriented workplace culture that reflects Lighthouse’s brand and values across all locations.

Requirements

  • 2–3 years of experience in office management, administrative support, or similar role.
  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks.
  • Proficiency in Microsoft Office and calendar scheduling tools.
  • Excellent interpersonal, communication, and customer service skills.
  • Pre-employment drug screen required.
  • Must be authorized to work in the United States.

Nice To Haves

  • Associate’s degree in business administration, Communications, or related field preferred.
  • Experience coordinating vendors, facilities, or building operations preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
