About The Position

The Park Board of Trustees in Galveston, TX is looking to hire a detail-oriented Office Coordinator. This is a full-time, benefits eligible position regularly scheduled for 32 hours per week. This administrative services position earns a competitive wage of $22.05/hour. The Park Board of Trustees of the City of Galveston is responsible for overseeing Galveston's tourism efforts, Galveston Island Beach Patrol (GIPB) and Coastal Zone Management (CZM). The Park Board is funded primarily through Hotel Occupancy Tax (HOT) and beach user fees for the parks that they manage. Tourism pays for tourism as no sales or property tax is collected by the Park Board. The nine-member board is comprised of volunteer residents with diverse business backgrounds. Each is required to serve at least two years and must also serve on one of the Park Board's advisory committees. Requirements

  • High school diploma or equivalent
  • 3+ years of experience in administrative services
  • Certified Tourism Ambassador (CTA) certification or ability to become certified (CTA training provided by the Galveston Island Park Board of Trustees upon hire)
  • Holds a valid class C driver's license
  • Experience with accounting and payroll software
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint
  • Strong customer service skills
  • Excellent computer skills
  • Excellent verbal and written communication skills
  • Self-starter and goal-driven
  • Ability to demonstrate good time management in a fast-paced environment
  • Ability to work well with others
  • Highly motivated individual

Nice To Haves

  • A bachelor's degree in business administration is preferred.
  • Previous leadership or management experience would be a plus.

Responsibilities

  • Perform a variety of clerical tasks, including drafting letters, memos, invoices, reports, and other documents.
  • Schedule events such as meetings, travel, training, and activities for all members of the departments.
  • Create agendas as well as create and develop visuals and presentations for meetings.
  • Perform accounting functions, including requesting quotes, creating purchase requisitions, processing invoices, and generating budget reports.
  • Assist with inventory control and ordering supplies.
  • Identify opportunities for cost savings.
  • Maintain timekeeping records for your department and reconcile any leave benefit requests through communication with payroll.
  • Maintain and update paper and electronic filing systems within your department.
  • Give recommendations for and implement policy or process changes when appropriate.
  • Maintain standard operating procedures (SOPs) and update them as needed.
  • Complete assigned special projects.
  • Maintain a working knowledge of all administrative and department-specific software.
