About The Position

The Office Coordinator plays a central role in creating a welcoming, organized, and efficient office environment while providing administrative and logistical support across the organization. This position ensures smooth day-to-day operations, delivers a high-quality experience for donors and visitors, and strengthens internal coordination across teams.

Responsibilities

  • Own daily office operations, including phones, supplies, deliveries, and overall workspace readiness
  • Maintain a clean, organized, and functional office environment, including shared spaces and grounds
  • Manage office supply inventory, ordering, and restocking
  • Coordinate with IT vendors to maintain and troubleshoot office equipment and systems
  • Serve as the first point of contact for visitors, donors, and partners
  • Create a welcoming, professional, and mission-aligned experience for all guests
  • Respond to routine inquiries and direct individuals to the appropriate staff
  • Maintain strong familiarity with organizational programs and resources to confidently answer common questions
  • Provide administrative support to Marketing, Chapter Services, and Operations teams
  • Assist with scheduling, calendar coordination, and meeting preparation
  • Maintain organized digital and physical filing systems
  • Exercise judgment in prioritizing requests and handling day-to-day administrative needs
  • Support planning and execution of events, including fundraisers and conferences
  • Coordinate logistics such as materials, setup, and vendor communication
  • Provide on-site event support, including setup and teardown as needed
  • Assist with post-event follow-up and documentation
  • Maintain organization and accuracy of inventory systems
  • Track, restock, and monitor supplies to support program needs
  • Coordinate donation sorting and distribution logistics
  • Support basic data entry and updates related to inventory and program tracking
  • Scan, file, and maintain organizational records
  • Provide data entry and general administrative support
  • Perform other duties as assigned to support organizational needs
