About The Position

Metaphore Biotechnologies is seeking an Office Coordinator Co-Op to join their team. Requirements

  • Currently enrolled in a Bachelor's program in Business, Finance, Accounting, Operations, or a related field
  • Strong organizational and multitasking skills; able to manage competing priorities
  • Clear written and verbal communication; comfortable with leadership, vendors, and staff at all levels
  • Proficiency in Microsoft Office particularly calendar and spreadsheet tools
  • High ownership, follows through without being reminded
  • Discrete with confidential information
  • Warm, professional presence; enjoys being a go-to resource
  • Comfortable with ambiguity and shifting priorities in a fast-paced environment

Nice To Haves

  • Coursework in accounting, financial analysis, or business operations is a plus
  • Prior internship, co-op, or part-time experience in an office or administrative setting preferred
  • Familiarity with expense tracking, invoicing, or budgeting tools a plus
  • Ability to organize meetings and employee events from planning through execution

Responsibilities

  • Keep the office running smoothly: supplies, pantry, mail, shared spaces, and equipment stocked, organized, and operational
  • Coordinate with IT, Facilities, and building management to resolve maintenance and workplace issues
  • Manage vendor relationships for office supplies, catering, and services; flag cost-saving opportunities
  • Support Leadership Team scheduling, meeting logistics, conference room bookings, catering, and action item tracking
  • Assist with travel arrangements and itineraries for Leadership Team members as needed
  • Track invoices, expense reconciliations, and vendor payments
  • Support Legal by filing contract requests and tracking status to ensure timely turnaround
  • Support HR with onboarding/offboarding logistics, workspace setup, and candidate interview coordination
  • Plan and execute employee events, celebrations, all-hands meetings, and engagement activities end-to-end
  • Assist with internal communications, company announcements, and cross-functional event coordination
  • Serve as a go-to resource for employees, visitors, and vendors
  • Take on ad hoc projects across teams based on business need and bandwidth
