About The Position

The Office Clerk reports to the Operations Manager and is responsible for performing a variety of routine to moderately complex administrative tasks, including receiving products into the JD Edwards database, data entry, and providing administrative support to staff as needed. IKO Madoc is a production facility that mines, processes, colours, and ships granules used for roofing products.

Requirements

  • Post-secondary education or an equivalent combination of related experience.
  • Prior experience in an administrative support role is an asset.
  • Strong computer skills and familiar with Microsoft Office (Excel, Word, PowerPoint, Outlook), ability to create macros, v-lookups, etc.
  • Strong organizational and time management skills.
  • Attention to detail and high level of accuracy.
  • Able to work independently and as part of a team.
  • Proven ability to prioritize tasks and function effectively in a fast-paced, changing environment.
  • Must possess a valid driver's license.

Responsibilities

  • Create, enter data, and maintain multiple spreadsheets in Excel.
  • Create “Macro” based Excel sheets for various departments to achieve desired data management and access.
  • Accurately enter received products into JD Edwards in a timely manner.
  • Avetta – Contactor flags and contractor orientation to maintain “green status” and compliance.
  • Support HSE with maintaining documentation and other administrative tasks.
  • Prepare and schedule training – external working with HSE coordinator.
  • Track all completed corporate safety shares.
  • Scan and track all completed internal inspections and LCP audits.
  • Update spreadsheet with eyewash, fire extinguisher verification checks.
  • Track Safety participation.
  • Create monthly audits for 5S forms issues and complete, filed and track performance.
  • Maintain daily dumping sheets and tickets logs.
  • Monthly audit Danfords tickets to invoices, rectify if discrepancy is found.
  • Collaborate and support the Plant with data management, analytics, and reporting.
  • Maintain a neat and organized work environment.
  • Perform other administrative duties including but not limited to daily filing/organizing documents, maintaining office supplies, recording meeting minutes, and generating reports.
  • Manage and coordinate plant events.
