Position Summary HUB Global Solutions is seeking a part-time Office Clerk to support critical mailing operations and general office administration at our Southington, CT location. This role plays an important part in ensuring the timely and accurate distribution of client materials while providing day-to-day operational support to the team.

Requirements

  • Prior experience in an administrative, clerical, or office support role preferred
  • Strong attention to detail and organizational skills, particularly around tracking and recordkeeping
  • Comfortable working with online systems and databases; experience with Employee Navigator or similar HR/benefits platforms a plus
  • Ability to work independently and manage recurring tasks with minimal supervision
  • Reliable, punctual, and professional demeanor
  • Comfortable with basic computer applications (email, spreadsheets, word processing)
  • Ability to lift and handle mailing materials as needed
  • Valid driver's license or reliable transportation to travel to DHL drop-off locations

Responsibilities

  • Prepare, process, and distribute Global Care Cards (GCC) and ID cards to members on a regular and ad hoc basis
  • Maintain secure storage of all GCC and ID card inventory in a locked cabinet at the Southington office
  • Track all cards received, including logging inventory upon arrival and reconciling against expected quantities
  • Use Employee Navigator and internal spreadsheets to verify and confirm accurate mailing addresses prior to each distribution
  • Bring outgoing mailings to DHL for shipment and obtain tracking numbers for each package
  • Monitor DHL shipment tracking to confirm delivery at destination locations and flag any delays or exceptions
  • Maintain organized records of all outgoing mailings, tracking numbers, and confirmed delivery statuses
  • Retrieve incoming mail from the locked office mailbox on a regular basis and distribute accordingly
  • Monitor and replenish office supplies, submitting orders as needed to maintain adequate inventory
  • Support general office upkeep and light facility maintenance to ensure a clean and organized workspace
  • Assist with coordination and logistics for in-office events at the Southington location
  • Provide administrative support to staff as needed
