About The Position

The Maryland Department of Agriculture is seeking an Office Clerk II for the State Chemist Section. This position is responsible for providing clerical, data entry, and troubleshooting duties related to agricultural commodities. The State Chemist program regulates the sale and distribution of various agricultural products to ensure consumer safety and promote agricultural production. The incumbent will enter payment and tonnage information, assist with invoice processing, and handle general office duties. Requirements

  • Completion of the eighth grade.
  • One year experience performing clerical duties in an office environment.
  • Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
  • Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.
  • Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.
  • Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

Nice To Haves

  • 6 months’ experience in Salesforce CRM Enterprise Edition in a government environment.
  • 6 months’ experience in recording payments, data entry of financial and reconciliation transactions in Salesforce CRM Enterprise Edition.
  • 6 months’ experience in supporting financial reporting.
  • 6 months’ experience in customer service and using Microsoft Office 365, Word, Excel, PowerPoint, and Google SharePoint.
  • 6 months’ experience in answering phones and directing calls on a multiple phone line using Microsoft Teams.

Responsibilities

  • Enters payment information for both new products and renewals, determining if received fees match the number of products to be registered.
  • Transfers registration documents to the individual responsible for entering product details.
  • Troubleshoots payment-related problems within Salesforce and makes corrections to the data.
  • Processes tonnage information for the State Chemist section, including entering submitted information, contacting registrants regarding discrepancies, updating the database, and filing tonnage reports.
  • Reports extreme inaccuracies to the Supervisor.
  • Maintains fiscal records of purchases made by program staff, including purchase orders, invoices, and service contracts.
  • Organizes fiscal records for easy retrieval during internal or external audits.
  • Organizes files for archiving or destruction according to the program's Document Disposal Schedule.
  • Monitors the designated Invoices email for submitted fiscal records.
  • Answers the main telephone line, directs calls, and answers general questions.
  • Responds to phone calls, emails, and walk-in customers in a positive and professional manner.
  • Assists registrants with online renewal-related questions.
  • Performs other duties as required for the operation of the Program.
