About The Position

The Office Assistant will serve as the primary point of contact for the school's MSIS (Mississippi Student Information System), leading all MSIS processes, ensuring compliance with Mississippi Department of Education reporting requirements, providing training and support to staff, troubleshooting data issues, coordinating with district and state personnel, and ensuring the timely and accurate submission of all required state data. This role also involves serving as the building principal's secretary/receptionist, organizing, managing, and supervising office operations and personnel, and performing a variety of administrative support functions regarding school personnel. The position requires managing student administration systems, handling mail, assisting with student attendance and dismissals, maintaining student records, collecting and receipting money, answering and directing calls, scheduling appointments, welcoming visitors, and copying/scanning/filing documents.

Requirements

  • 1-2 years of experience in a similar role.
  • Exceptional ability to create a welcoming environment.
  • Experience with customer service
  • Ability to observe business etiquette and maintain a professional appearance
  • Experience working with word processing, spreadsheets, and emails, including Google suites
  • Strong and exceptional technical and data computer skills
  • Working knowledge of printers, copiers, scanners, and fax machines.
  • Excellent interpersonal and communication skills.

Responsibilities

  • Serve as student administration management (SAM) system administrator and primary contact; assist with SAM training; ensure timelines are met; input and maintain required data on student administration management system; run site specific queries/reports.
  • Serve as the school's primary MSIS (Mississippi Student Information System) point of contact, leading all MSIS processes, ensuring compliance with Mississippi Department of Education reporting requirements, providing training and support to staff, troubleshooting data issues, coordinating with district and state personnel, and ensuring the timely and accurate submission of all required state data.
  • Serve as secretary/receptionist for building principal; organize, manage, and supervise office operations and personnel; perform a variety of administrative support functions regarding school personnel.
  • Open, sort, and route mail, packages and special deliveries to appropriate individuals and departments.
  • Assist with handling attendance, tardiness, breakfast count, and dismissals of students; schedule students and change student schedules as directed.
  • Maintain list of students who receive assistance from the Department of Human Services.
  • Request, send, and maintain student records and other documents.
  • Collect and receipt all money, maintain proper bookkeeping, and prepare funds for deposit.
  • Answer, screen, and forward telephone calls.
  • Schedule and confirm appointments, meetings, and events.
  • Welcome and assist families and visitors in a friendly and professional manner.
  • Copy, scan, and file documents.
  • Perform other related duties as requested or assigned.
