About The Position

The Office Assistant will assist with ensuring the efficient operation of the school office and/or administrative department. This role involves organizing and promoting a welcoming customer-focused office, providing primary secretarial services for the Principal/Assistant Principal/Department Supervisor, and facilitating meeting agendas, logistics, and meetings. The position requires preparing, editing, and managing correspondence, communications, reports, presentations, and maintaining building/department social media accounts. Additionally, the Office Assistant will support budget, inventory, and purchasing processes, including contract management, manage complex projects, obtain, organize, and enter data accurately, and establish and maintain records, filing, and scanning systems. The role may also involve assisting in maintaining child accounting records and serving as a vital liaison for communication involving staff, students, parents, and the community.

Requirements

  • High School Diploma or GED required.
  • Two years’ administrative support experience and/or equivalent training required.
  • Knowledge of basic accounting and budgeting principles.
  • Ability to operate a computer and applicable software and devices.
  • Ability to communicate effectively, both orally and in writing, with strong knowledge of correct English usage, spelling, punctuation and grammar.
  • Excellent organizational skills and attention to detail.
  • Ability to demonstrate a high degree of customer service skills and professionalism.
  • Ability to effectively organize and operate a welcoming customer-focused office.
  • Ability to maintain confidentiality and exercise discretion.

Responsibilities

  • Organize and promote a welcoming customer-focused office.
  • Provide primary secretarial services for the Principal/Assistant Principal/Department Supervisor as necessary.
  • Facilitate meeting agendas, logistics, and meetings.
  • Prepare, edit, and manage correspondence, communications, reports, presentations, maintain building/department social media accounts, and other documentation.
  • Support the budget, inventory, and purchasing processes, including contract management.
  • Manage complex projects assigned.
  • Obtain, organize, and enter pertinent data in an accurate and timely fashion.
  • Establish and maintain records, filing and scanning systems.
  • Assist in maintaining child accounting records as needed.
  • Serve as a vital liaison for communication involving staff, students, parents, and community.
  • Coordinate all clerical functions for the supervisor/department.
  • Assist in providing building/department information and procedures.
  • Maintain departmental policies, procedure manuals and work instructions.
  • Engage in ongoing professional development.
  • Perform other related duties as assigned by supervisor.
