About The Position

The Office of International Students & Scholars (OISS) is seeking a motivated and organized Office Assistant for Fall 2026. This student employment position is crucial for creating a welcoming and supportive environment for international students. The role involves front desk support, administrative tasks, graphic design, social media management, newsletter creation, and event planning. The ideal candidate will be a currently enrolled Quinnipiac University student with excellent communication and organizational skills, comfortable working in a fast-paced environment, and attentive to detail. This position offers a creative opportunity to shape the OISS's digital presence and contribute to impactful events for the international student community.

Requirements

  • Currently enrolled undergraduate or graduate student at Quinnipiac University in good academic standing
  • Excellent time management and multitasking abilities; capable of working independently and collaboratively in a fast-paced environment.
  • Strong verbal and written communication skills, with the ability to interact professionally and courteously with diverse populations.
  • Experience with office tasks such as digital organization, data entry, scheduling, project-based researching and handling confidential information.
  • Comfortable working in a fast-paced, dynamic environment.
  • Strong editing and proofreading abilities with attention to tone, clarity, and cultural inclusivity.
  • Familiarity with social media platforms, especially Instagram, as tools for engagement and outreach.
  • Ability to assist with event planning, logistics, and on-site coordination

  • Creativity and innovation to generate and implement novel solutions to complex challenges

Nice To Haves

  • Experience with Canva or similar tools is preferred.
  • Previous engagement with OISS programming and involvement in OISS volunteer leadership opportunities (Global Partner, International Student Advisory Board).
  • Familiarity with issues impacting international students, such as F-1/J-1 visa regulations, work authorizations, common procedures (SSN, DMV, etc.), and cultural adjustment.

Responsibilities

  • Manage walk-ins, greeting and assisting students, staff, and visitors professionally and friendly.
  • Answer incoming calls and respond to emails promptly and courteously.
  • Provide accurate guidance on common questions related to international student services, including visa regulations, campus resources, and upcoming events, referring complex inquiries to appropriate OISS staff.
  • Maintain accurate and up-to-date records, including student documentation and requests.
  • Conduct research on topics relevant to international student life, immigration updates, or cultural programming, compiling findings into clear summaries or reports.
  • Support daily operations by helping with filing, photocopying, supply inventory, and other clerical duties.
  • Handle sensitive information with discretion and maintain a high level of professionalism.
  • Create visually appealing flyers, posters, and digital graphics to promote events, programs, and services.
  • Assist in curating and scheduling content for OISS social media platforms, helping to grow engagement.
  • Draft, design, and distribute the weekly International Student Newsletter using the Delivra platform.
  • Record, edit, and publish engaging video content for OISS channels.
  • Assist in the logistical planning of OISS events, including materials preparation, catering, and setup.
  • Provide on-site assistance during events by helping with registration, welcoming attendees, managing supplies, and troubleshooting.
  • Work closely with OISS staff and student leaders to ensure events are inclusive, well-organized, and aligned with the needs of the international student community.
