About The Position

This is a full-time Office Assistant position supporting staffing needs in Gloucester, Virginia. The role involves patient check-in/check-out, insurance verification, demographic updates in patient registration software, answering multi-line phones, scheduling appointments, creating/scheduling referrals, and chart preparation. The position may require floating to other practices in the region for support. The Office Assistant is expected to promote the Riverside Care Difference through exceptional customer service, including greeting patients, managing expectations, and using proper phone etiquette. Responsibilities also include maintaining referral and insurance information, obtaining necessary authorizations, and contributing to process improvements. The role requires maintaining the appearance and cleanliness of the reception area and actively participating in team huddles and staff meetings.

Requirements

  • High School Diploma or GED, Minimum (Required)

  • 1 year Medical Office experience (Preferred)

Responsibilities

  • Check in and check out patients.
  • Verify insurance eligibility.
  • Maintain patient registration by properly entering and updating patient demographics within the patient registration software.
  • Greet patients and answer multi-phone lines.
  • Schedule/reschedule appointments.
  • Create/schedule referrals.
  • Complete chart prep.
  • Provide information to and for the patients.
  • Float to other practices within the region providing support as needed.
  • Ensure all patients' registration and demographics information is correct and updated as needed.
  • Complete check-in and check-out in a timely manner.
  • Collect payments from patients regarding appointments, forms, or past due balances.
  • Monitor daily schedule including scheduling/rescheduling appointments, when necessary, i.e. doctor’s illness, meetings, or vacation.
  • Complete clerical chart prep, prepare and print visit related documents, i.e. consents, receipts, visit summaries, etc.
  • Promote the Riverside Care Difference through exceptional customer service.
  • Greet all participants to the practice with immediate acknowledgment with eye contact and smile.
  • Manage patient expectations with clear explanations.
  • Use good telephone etiquette including 4-part greeting and 3 rings or less guideline.
  • Practice warm transfer and proper on-hold techniques.
  • Maintain referrals and insurance information.
  • Obtain referrals or schedule referrals upon receipt from referring location.
  • Ensure referrals are attached with an approved insurance authorization.
  • Obtain insurance authorizations as necessary.
  • Recommend to practice manager any process improvements needed to improve quality of service.
  • Maintain appearance and cleanliness of the reception area.
  • Actively engage in team huddles and staff meetings.
