About The Position

Vision Loss Rehabilitation Canada (VLRC) is a national health services organization dedicated to empowering people who are blind or partially sighted to live safely and independently. Our certified specialists provide client-centered rehabilitation, mobility training, and daily living skills programs that help clients build confidence and thrive. We work collaboratively with ophthalmologists, optometrists, and other health care professionals, offering essential care on a referral basis in homes, workplaces, and communities across the country. This funded position through the Canada Summer Jobs Program offers the opportunity to gain meaningful experience and learn practical skills associated with working in an organization that provides professional vision rehabilitation therapy. VLRC is seeking an energetic, technology proficient Office Assistant who will support the British Columbia Management Team, Specialists, and the Registration and Intake Team. The successful candidate will contribute to the delivery of inclusive and accessible services by providing essential administrative support that helps ensure individuals who are blind or partially sighted can access the tools, programs, and resources they need to thrive. Individuals in this role will develop skills in assistive and accessible technologies, digital communication and document accessibility, research, data organization and quality assurance, workflow automation, and other entry-level tasks that contribute to initiatives across VLRC. This placement provides exposure to healthcare technology and accessibility, including opportunities to understand how AI-enabled tools support individuals with vision loss.

Requirements

  • Be enrolled in degree or diploma studies in related field.
  • Advanced skills in Microsoft Suite.
  • Excellent written and oral communications skills.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Excellent administrative, time-management and organizational skills.
  • High level of attention to detail and accuracy, particularly when handling confidential information.
  • Between 15 and 30 years of age (inclusive) at the start of employment.
  • A Canadian citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Protection Act.
  • Legally entitled to work according to the relevant provincial/territorial legislation and regulations.

Nice To Haves

  • Previous experience with vision loss considered an asset.
  • Direct lived experience (with sight loss) is valued as an asset.

Responsibilities

  • As directed by management, work with VLRC staff on administrative, research, and project tasks.
  • Coordinate schedules, including supporting scheduling requests from Specialists within BC, and assist with program development activities in collaboration with the team.
  • Assist with establishing and maintaining a database of organizations to share information about VLRC services and community referral form.
  • Support digital and physical records management, including scanning and uploading client documentation into the client database with a strong focus on accuracy and confidentiality.
  • Assist with community engagement research, including identifying organizations and compiling information to support outreach and partnerships.
  • Assist with assembling and sending Welcome Packages to new clients within BC.
  • Perform general office and administrative duties, including reception coverage as required.
  • Assist with digital content preparation, including organizing files and accessible document design.
  • Contribute to workflow improvement or automation projects by creating templates, streamlining processes, and organizing information that enhances efficiency.
  • Complete evaluation at the end of placement to provide feedback on experience and provide a detailed report on activities/projects completed.
  • Other related duties as required.
