About The Position

The Office Assistant is a student member of the Housing & Residence Life team. This position maintains responsibility for working as part of the front desk operation. The OA positions are regarded as University representatives. Therefore, they should conduct themselves in an honest, conscientious, and professional manner. OAs are expected to maintain confidentiality and the integrity of the office.

Requirements

  • Preference given to students who live in campus housing & students who are eligible for federal work study
  • Maturity and dependability are necessary
  • Excellent interpersonal, time management, and problem solving skills are essential.
  • Must maintain a minimum 2.25 cumulative GPA throughout employment
  • Must have ability to pass a criminal background check
  • Need to know, understand, and adhere to all UW-Parkside and Housing policies
  • Must be able to maintain confidentiality
  • Must be able to write, spell and use basic office equipment
  • Experience utilizing Microsoft Word, Excel, and PowerPoint
  • Must be familiar with e-mail and internet usage.
  • Must adhere to department office dress code
  • Expected to attend all required staff trainings and meetings
  • Must be able to work a variety of hours including daytime, evening, and weekends as needed
  • Must be able to work during holidays and academic breaks as needed; working on move-in days is required
  • Must be able to walk/traverse across the University
  • Will occasionally be asked to lift up to 30 pounds

Nice To Haves

  • Publisher experience is considered a plus.

Responsibilities

  • Providing positive, accurate interactions and guest relations to all residents and guests entering the office environment.
  • Interacting with individuals via telephone or in-person.
  • Representing the department in public relations initiatives (giving housing tours, appearing at Orientation, answering questions, typing & preparing documents, designing and creating publicity and promotional documents, etc.).
  • Promoting campus housing to new and transfer students and guests.
  • Administrative tasks include, but are not limited to, assisting professional staff members in responding to student concerns, room assignments and application processes, process correspondence, answer and respond to telephone calls, using housing computer program/data base, assisting with key management, assisting with social media needs, distributing University announcements /publicity, maintaining and filing student records, completing basic financial transactions and processing maintenance and custodial work orders.
  • Processing US mail, campus mail, and packages in accordance with department protocols
  • Maintaining inventory control of desk supplies and equipment; completing proper check out of University equipment
  • Interacting with and supporting the RAs, HDs, and others in completion of Residence Life operations.
  • Assisting with opening and closing operations as needed.
  • Maintaining and ensuring the confidentiality, integrity, and security of the office
  • Responding and assisting with emergency response as needed
  • Serving as a role model to other students.
  • Being a resource to other students.
  • Performing other duties as assigned

Benefits
