About The Position

Nations Roof is seeking an organized and dependable Office Assistant to support the daily operations of our local Oregon office. This position works closely with office leadership, project managers, operations personnel, and field employees in a smaller, team-oriented environment. Our Oregon team provides the personalized service and close collaboration of a local contractor, supported by the resources and stability of one of the nation’s largest commercial roofing companies. The ideal candidate has professional office experience, strong attention to detail, and a willingness to learn construction-related processes and systems. Previous construction experience is helpful but not required.

Requirements

  • High school diploma or equivalent required.
  • One or more years of professional office, administrative, reception, accounting support, or customer service experience preferred.
  • Strong organizational skills and attention to detail.
  • Accurate data-entry skills with consistent follow-through.
  • Professional verbal and written communication skills.
  • Ability to manage multiple assignments and changing priorities.
  • Basic proficiency with Microsoft Outlook, Word, and Excel.
  • Ability to work independently and collaboratively as part of a small local team.
  • Willingness to learn construction terminology, processes, and software.

Responsibilities

  • Answer and direct incoming calls and emails.
  • Greet and assist customers, vendors, employees, and office visitors.
  • Enter purchase orders and accounts payable information accurately and promptly.
  • Maintain vendor records and assist with invoice and account documentation.
  • Enter and update information in company databases, spreadsheets, and construction management systems.
  • Prepare, scan, organize, file, and distribute office and project documents.
  • Maintain project files, customer records, and vendor documentation.
  • Support project managers, operations personnel, field employees, and office leadership.
  • Assist with scheduling meetings, deliveries, inspections, and other project activities.
  • Process incoming and outgoing mail and shipments.
  • Order and maintain office supplies and basic inventory.
  • Assist with new-hire paperwork, timekeeping records, and other employee documentation.
  • Communicate with customers, vendors, subcontractors, and employees to obtain or provide routine information.
  • Provide backup coverage and cross-train in additional administrative, accounting, and project-support functions.
  • Perform other duties as assigned.
