About The Position

The Office Assistant performs all reception desk responsibilities and serves as the backup to the Office Manager. The Office Assistant provides clerical support to all administrative departments and other related activities. Requirements

  • High school diploma or equivalent
  • Demonstrate high-quality customer service and business etiquette.
  • Strong computer literacy with the ability and desire to learn new software applications
  • Exhibit professional demeanor verbally and in written communication
  • Possess a high degree of accuracy, demonstrating organizational skills and attention to detail.
  • Ability to sit, stand, walk, bend, squat, climb, and kneel throughout the day.
  • Must have a valid driver's license

Responsibilities

  • Answer and operate a multi-line phone system, taking messages, forwarding customers to appropriate departments, and resolving issues through active listening and follow-through
  • Cover front desk duties throughout the day and serve as backup for the Office Manager
  • Maintain the highest standard of service through a professional attitude, ensuring strong business relationships.
  • Perform general clerical duties in support of multiple departments daily as assigned.
  • Utilize Microsoft products and other software, including Agris, to create and modify documents and maintain databases and spreadsheets.
  • May be required to schedule, coordinate, and set up conferences, meetings, or events.
  • Remain flexible to allow for switching between projects and quickly responding to competing priorities
  • Work with the accounting department on various projects, including monthly reconciliation of accounts.
  • Organizing and tidying common areas to include conference rooms, kitchenette, entry, and reception area.
  • Take on increasing responsibilities as individual skills and business needs arise.
  • Comply with SDSP’s Safe Quality Food (SQF) food safety program and polices.
  • Perform duties outside normal responsibilities as needed to support the team and overall organizational goals.
