About The Position

The Administrative Assistant is responsible for supporting office operations. This involves, but is not limited to, providing administrative support, related procedures, understanding and enforcing office policy, calendar management, assisting with travel and reconciliation, scheduling appointments, greeting guests and providing hospitality, and assisting with events. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Answering phones and tracking high priority items such as emails, meetings, etc. Assists the Development staff with scheduling appointments and meetings. Supports maintenance of the master calendar for meetings, conference room bookings, golf cart reservations, and events. Monitors inventory and orders office supplies and equipment when necessary. Greet guests and provide hospitality. Strictly adheres to Liberty University policies, representing the University in an exemplary manner. Works effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ. Ability to articulate and defend the unique Christian educational mission and vision of Liberty University and its subsidiaries to a wide variety of individuals and groups. Tier 2 Assist with travel arrangements for the development staff. Reconcile p-card transactions. Assist with planning development events both on and off campus. Drafting correspondence, creating basic spreadsheets/reports. Senior Assists three Vice Presidents with scheduling appointments and meetings, answering the phone, and tracking high priority items, and booking travel (air, vehicle rental, hotel, and meeting/event planning as needed) Interacts with internal departments and outside entities Arranges donor events both on and off campus Supports processing of signoffs and necessary budget paperwork such as requisitions, budget amendments, contracts and expense reports, etc Assists in the management of the budget of the VP’s specific areas SUPERVISORY RESPONSIBILITIES None

Requirements

  • Excellent communication and organizational skills
  • Knowledge of Microsoft Office products including Microsoft Word, Excel and Outlook.
  • Detail oriented
  • Proficient in Microsoft Office products particularly Word, Excel, Outlook and Power Point.
  • Previous event planning experience.
  • Knowledge of Banner, CRM systems
  • Knowledge of Development as it relates to Higher Education
  • Excellent Computer skills
  • Ability to effectively communicate both verbally and in writing to convey clear, well articulated information.
  • Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.
  • Always expected to maintain confidentiality and discretion
  • Display professionalism, maturity and tact.
  • Possess public communication skills that allow professional representation of Liberty University.
  • Strong organizational skills.
  • Computer skills.
  • Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.
  • May be required to travel across campus and within the LU campus/community.
  • May be required to sit to perform deskwork or type on a keyboard.
  • Regularly required to hear and speak in order to effectively communicate orally.
  • Regularly required to stand, walk, and climb stairs to move about the campus.
  • Handle materials, reach overhead, kneel or stoop in order to conduct business.
  • Regularly lift 10 or fewer pounds.
  • Proof of a valid driver’s license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee’s position.

Nice To Haves

  • High School Diploma
  • 2+ years’ experience required
  • Associate’s degree or minimum 4 years’ equivalent experience in professional setting with administrative responsibilities.
  • Bachelor’s degree in business-related discipline or 5+ years’ equivalent experience in a professional role with administrative responsibilities.
