About The Position

The Office Assistant III is responsible for performing a variety of clerical and administrative duties to support departmental operations. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. This position is an essential service position and will require providing services during emergency situations.

Requirements

  • High school diploma or equivalent required
  • Minimum of two years of clerical or administrative experience in a professional office environment, preferably in a municipal or utility setting.
  • Must possess a valid Driver's License Class C at time of placement.
  • Proficiency in MS Office suite (Word, Excel, Outlook) and other office software applications.
  • Strong organizational skills with the ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Attention to detail and accuracy in data entry, record-keeping, and document management.
  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
  • Flexibility to adapt to changing priorities and work independently or collaboratively as part of a team.

Nice To Haves

  • additional education or vocational training in office administration or related field preferred.

Responsibilities

  • Provide administrative support to departmental staff, including answering phones, responding to inquiries, and directing visitors.
  • Assist in the preparation and distribution of departmental correspondence, reports, and documents.
  • Maintain electronic and physical filing systems, ensuring accurate and timely retrieval of information.
  • Process and track departmental invoices, purchase orders, and other financial transactions.
  • Coordinate meetings and appointments, including scheduling, room reservations, and preparation of meeting materials.
  • Assist with data entry, record-keeping, and database management tasks to maintain accurate and up-to-date information.
  • Prepare and process various forms, applications, and permits related to water and sewer services.
  • Assist in inventory management, including ordering supplies, tracking inventory levels, and maintaining inventory records.
  • Collaborate with other departmental staff to support special projects, events, and initiatives as needed.
  • Other duties as assigned.
