About The Position

The City of Jackson is seeking to fill a full-time Office Assistant II position in the Treasurer's Office. This role requires strong accounting and data entry skills, the ability to meet deadlines, and excellent customer service. Requirements

  • High school graduate or equivalent.
  • Two (2) years of office and accounting experience or equivalent combination of job-related education and experience.
  • Must be courteous, tactful, reliable, thorough, and organized.
  • Must be able to communicate effectively, both orally and in writing, with the public and other City staff.
  • Must be able to develop and promote excellent working relationships and provide exceptional customer service.
  • Must possess a valid Michigan driver’s license and good driving record at time of appointment and maintain both during employment.
  • Ability to read, write, speak, and understand the English language as necessary for the position.
  • Ability to follow written and oral instructions.
  • Ability to get along with other employees and members of the public.
  • Possess and maintain a record of orderly law-abiding citizenship, sobriety, integrity, and loyalty.
  • Physically and mentally able to perform the essential duties of their position without excessive absences.

Responsibilities

  • Performs daily cash, check, and charge transactions for property tax, special assessments, water bills, and income tax. Balances cash drawer daily for bank deposits.
  • Opens, sorts, and processes daily mail for the Treasurer/Clerk’s office. Prepares receipts for mortgage companies, title companies, and walk-in customers.
  • Assists customers with questions regarding property taxes, special assessments, water, and income tax, referring them to the appropriate department if unable to answer.
  • Assists taxpayers in completing income tax forms.
  • Performs collection procedures according to departmental policy.
  • Processes mortgage company checks for the tax roll file.
  • Receives complaints and requests for information and services over the counter or by phone, providing information on services and procedures.
  • Audits refund tax returns and assists in entering refund batches.
  • Validates checks for deposit and prepares cash turn-in reports, allocating monies to proper accounts.
  • Communicates with the Assessor’s office regarding address changes, name changes, and homestead status.
  • Operates a personal computer for data entry, report production, and correspondence preparation. Operates standard office equipment and uses standard and specialized software.
  • Provides election and voter information to citizens.
  • Assists with income tax compliance.
  • Issues parking permits.
  • Maintains current mortgage code identifiers and communicates with mortgage companies.
