About The Position

The Office Assistant II position is considered the “face” of the Bureau of Identification. The person in the position is the main communicator with the public as he or she answers the Main Phone line as calls come in. He or she also assists the Bureau’s Specialists II’s and Associate II’s with filing, pulling records, and general assistance to help the Bureau meet the expectations of the Department of Public Safety.

  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment, and 2) the ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures.
  • All positions in this classification assume the qualifications of: Office Assistant I.
  • Have been found guilty of murder or any crime classified in Maine law as a Class A, Class B, or Class C crime (any felony) or a conviction for any equivalent crime in another jurisdiction outside the State of Maine.
  • Have been found guilty of any crime classified in Maine law as a Class D and/or Class E crime (misdemeanor with a maximum possible term of imprisonment of less than one year) or a conviction for any equivalent crime in another jurisdiction outside the State of Maine;
  • Have been found guilty of any of the following provisions of the Maine Criminal Code or a conviction for any equivalent crime in another jurisdiction outside the State of Maine: 1) Chapter 15 (Theft); 2) Chapter 19 (Falsification in Official Matters); 3) Chapter 25 (Bribery and Corrupt Practices); or 4) Chapter 45 (Drugs); 5) Title 29A Section 2411 (Operating Under the Influence 9/1/2000 or later)

Responsibilities

  • Answer the main line for the State Bureau of Identification in a professional manner and to be able to assist in covering the main receptionist area of DPS during SBI’s expected time coverage periods
  • Be able to file and retrieve different types of folders, cards and sources according to established filing systems.
  • Be able to take direction and follow through with daily tasks on a consistent basis. For example: printing, sorting, and mailing record responses and notarized requests, pickup and open mail.
  • Assist the Director and the Supervisor with everyday needs such as copying, mailing, and/or other office duties.
  • Work professionally and ethically with the understanding that one is a representative of the Bureau of Identification and its managers.
