About The Position

The North Los Angeles County Regional Center (NLACRC) is seeking an Office Assistant II - Bilingual (SP) for its Records & Document Management department in Antelope Valley (Lancaster). This private, non-profit agency serves individuals with intellectual and developmental disabilities across the lifespan. The position involves a variety of clerical, reception, and mailroom duties, requiring strong organizational and communication skills. The role supports the department by managing calls, appointments, documents, and supplies, ensuring efficient operations.

Requirements

  • High school diploma or general education degree (GED); or equivalent combination of education and experience.
  • Two (2) years of related experience working in an office environment or related experience.
  • Proficiency in Microsoft Office and related applications.
  • Knowledge of general office functions and customer service skills.
  • Ability to operate a computer and enter data accurately.
  • Ability to speak and write in an organized and effective manner.
  • Ability to write with excellent grammar.
  • Ability to be detail-oriented.
  • Ability to multi-task.
  • Valid California Driver’s License and reliable transportation, or acceptable substitute, required.
  • Bilingual Spanish may be required dependent upon the position.

Responsibilities

  • Respond to a high volume of phone calls, transfer calls, and answer general questions.
  • Greet consumers, families, and visitors, check in appointments, and ensure they connect with appropriate staff.
  • Schedule appointments with consumers, related parties, or internal staff.
  • Reserve rooms for meetings and conferences, and maintain department calendars.
  • Perform clerical tasks including filing, scanning, copying, and preparing written correspondence.
  • Communicate with consumers, families, service providers, and other agencies.
  • Type, input, and maintain documents, consumer information, and data into computer databases and tracking systems.
  • Prepare reports and documents by collecting and collating information.
  • Set up and maintain paper and/or electronic filing systems.
  • Maintain, stock, and inventory supplies.
  • Process incoming and outgoing mail (USPS, UPS, FedEx, interoffice, faxes).
  • Package materials for shipping and run outgoing mail through the postage machine.
  • Service and maintain office equipment (e.g., clear paper jams, replace toner).
  • Copy, file, retrieve, and scan documents, potentially researching files on the computer.
  • Maintain files through purging/archiving documents and ensuring proper filing.
  • Make copies and packets, distribute documents, and prepare materials for mailing.
  • Coordinate boxes for off-site storage.
  • Perform other related duties as required and assigned.
