The Office Assistant position is an on-site role in Sherwood Park, reporting to the Office Manager. This role is responsible for performing administrative and office support activities to ensure the efficient day-to-day operations of the department and the smooth functioning of office processes and services.

Requirements

  • High school diploma or equivalent is required.
  • Intermediate skill with Microsoft Office (Word/Excel) is required.
  • Fluent in both English and French with proven skills in verbal and written communication is required.
  • Valid Driver’s License, vehicle registration, valid insurance & own transportation is required.
  • Be able to lifting upto 20lbs, handling mail and small parcels.
  • Successful completion of a criminal background check, education verification and employment reference checks is required before employment.

Nice To Haves

  • Experience working in AS400, is an asset.
  • Previous interaction via telephone and/or email is highly preferable and is considered and asset.

Responsibilities

  • Daily mail pickup, mail room duties, and distribution of mail including sorting, folding, and distribution, ensuring confidentiality of correspondence.
  • Maintain inventory of envelopes, toner, and general office supplies, ensuring adequate stock levels are available.
  • Prepare and process purchase orders; coordinate and track the ordering of operational and office supplies.
  • Bank runs for manual cheque deposits as required.
  • Weekly inventory checks and local shopping to replenish lunchroom supplies.
  • Provide general administrative activities, including sending invoices via email, printing and matching letter correspondence, managing return mail, updating address information in company systems, and reissuing correspondence to correct addresses as required.
  • Maintain organization and cleanliness of supply and storage rooms.
  • Perform regular cleaning and maintenance of cheque deposit machines and printers, including tracking and submitting printer meter reads.
  • Coordinate the setup, cleanup, and logistical arrangements for internal meetings as required.
  • Operate a personal vehicle for company-related errands and deliveries; mileage will be reimbursed in accordance with company policy.
  • Cover reception desk from 7:00-9:00am daily and additional coverage as needed; including greeting and assisting guests, answering and directing phone calls using the switchboard, managing voicemail, call transfers, and message forwarding.
  • Perform other duties as required.
