About The Position

First Call Hospice, a locally owned agency founded in 1993, is seeking an experienced and compassionate Office Assistant to join their growing team. The mission of First Call Hospice is to provide individualized quality hospice care to meet the unique needs of patients with a limited life expectancy, aiming to enhance the quality of life when the quantity of life is limited. The Office Assistant will be responsible for coordinating all office activities, including medical records, data entry, patient records, meeting preparation, telephone calls, and maintaining office supplies. This role reports to the Administrator and Program Director and assists with direct patient expenditures, personnel records, and billing liaison.

Requirements

  • Two years data entry experience.
  • Previous billing and computer experience, preferably in hospice or similar operation.
  • Ability to exercise discretion and independent judgment.
  • Demonstrate good communication, negotiation, and public relations skills.
  • Demonstrated capability to accurately manage detailed information.
  • Able to deal tactfully with patients, family members, referral sources and payers.
  • Previous healthcare related billing experience.
  • Word processing skills.
  • Personal computer skills.

Responsibilities

  • Coordinate all office activities including medical records, data entry, maintaining patient records, preparing for all meetings, coordinating all telephone calls and maintaining sufficient office supplies.
  • Assist with direct patient expenditures coordination, personnel records, and billing liaison.
  • Communicate effectively on the telephone with patients, families and staff.
  • Answer incoming calls and forward to appropriate staff person or take a message if the person is not available.
  • Welcome and assist all guests.
  • Manage incoming, outgoing and interoffice mail.
  • Perform typing, faxing and copying tasks as requested for various staff persons.
  • Promote and live the organization’s core values and act as a cultural champion.
  • Prompt data entry for all employee information into system and back-up.
  • Maintain current contracts on contracted personnel.
  • Input data into computer for billing purposes.
  • Submit accounts payable information and maintain a system to ensure orders and invoices are submitted and paid on a timely basis.
  • Order and maintain accurate records of medical equipment and supplies.
  • Maintain accurate mailing lists of employees, patients, volunteers, Medical Directors, physicians and nursing facilities and forward any changes to the Corporate Office.
  • Support relief for authorizations, intake, and scheduling.
