About The Position

This position is with the Desautels Faculty of Management at McGill University. The Office Assistant will support the Engagement team with various administrative and logistical tasks. Responsibilities include managing mail merges, working with an Oracle database for alumni data, assisting with office database management, supporting events with on-site logistics and preparation, and completing general administrative duties. The role may also involve assisting in other departments within the Dean's Office and Communications. Requirements

  • High School Diploma
  • 2 Years Related Experience
  • Ability to multi-task, work efficiently, enjoy having a diversity of tasks to accomplish, and be detail-oriented
  • Strong interpersonal, analytical, and communication skills
  • Advance knowledge of MS office Suites (Strong Excel and Word)
  • Interest in information systems and event management
  • Authorized to work in Canada
  • Willing to work in the province of Quebec
  • Sufficient English communication skills (verbal and written)

Responsibilities

  • Perform mail merges using Word and Excel.
  • View, interpret, and work with alumni-related data using an Oracle database, including pulling class lists, updating contact information, examining donations, and conducting biographical searches on the Internet.
  • Assist in database management for the office, updating and cross-referencing raw data on the alumni database or spreadsheets.
  • Support Engagement events with on-site logistics, creation of name badges, printing, press kits, and on-site registration.
  • Prepare communications and Engagement kits for alumni visits, conferences, and events.
  • Complete administrative duties such as printing, photocopying, cold-calling for event RSVPs, and photographing guest lectures.
  • Assist in other Departments within the Dean’s Office and Communications on various occasions as needed.
