About The Position

The Office Assistant C position at McGill University's Desautels Faculty involves a variety of administrative and support tasks. Key responsibilities include managing mail merges, working with alumni data in an Oracle database (pulling class lists, updating contact information, examining donations, biographical searches), assisting with office database management, and providing on-site support for engagement events. This includes tasks like creating name badges, printing, preparing press kits, and managing on-site registration. The role also involves preparing communications and engagement kits, and performing general administrative duties such as printing, photocopying, cold-calling for RSVPs, and photographing guest lectures. Responsibilities may extend to assisting other departments within the Dean's Office and Communications. Requirements

  • Strong interpersonal, analytical, and communication skills
  • Advance knowledge of MS office Suites (Strong Excel and Word)
  • Interest in information systems and event management
  • Authorized to work in Canada
  • Willing to work in the province of Quebec at the campus where the position is based / located.
  • Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # (qualifier) on a scale of 0-4.

Responsibilities

  • Mail merges using Word and Excel.
  • Viewing, interpreting and working with data related to alumni using an Oracle database; tasks include but are not limited to pulling class lists, updating contact information, examining donations and biographical searches on the Internet.
  • Assisting in database management for the office; updating and cross-referencing raw data either on the alumni database or spreadsheets.
  • Supporting Engagement events with on-site logistics at various events in and outside the Faculty, creation of name badge, printing, press kits and on-site registration for events.
  • Preparing communications and Engagement kits for alumni visits, conferences and events.
  • Completing administrative duties in support of the office; printing, photocopying, cold-calling for RSVP of events, photographing guest lectures and other duties as needed.
  • Assisting in other Departments within the Dean’s Office and Communications on various occasions.
