About The Position

The Community Corrections Division is seeking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Everett Field Office 225. This position performs file management and routine, advanced clerical support tasks for the Administrative Assistant 4, Community Corrections Supervisors, and Community Corrections Officers from three Everett units. The role involves working independently to perform complex clerical projects and assignments, as well as duties at the reception desk. The agency is looking for individuals committed to public service and an equitable and inclusive culture.

Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical and/or customer service experience.
  • Basic level of proficiency and knowledge in Microsoft Office to include Outlook, Word, and Excel.
  • Must possess and maintain an unrestricted driver's license valid in the state of Washington.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.
  • Ability to proofread written material and identify and correct errors in sentence structure, grammar and punctuation.
  • Ability to communicate effectively and clearly to staff, supervised individuals, public, and stakeholders.

Responsibilities

  • Provide front desk reception.
  • Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
  • Manage a multi-line phone system.
  • Process incoming/outgoing mail.
  • Ensure the public entry door is open at 8:00 am and closed at 5:00 pm.
  • Manage and maintain electronic and physical files.
  • Perform database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Cross train with the Office Assistant Lead to cover their duties in their absence.
  • Perform other duties as assigned.
