About The Position

The Office Aide provides administrative, clerical, and customer-service support to ensure the efficient operation of the high school’s main office. This position assists staff, students, parents, and community members while maintaining professionalism, confidentiality, and a student-centered focus. The Office Aide performs routine office tasks, supports attendance and record-keeping functions, and contributes to a positive and welcoming school environment.

Requirements

  • High school diploma or GED required.
  • Ability to pass required background checks and district onboarding requirements.
  • Basic office practices, procedures, and equipment.
  • School operations, policies, and communication protocols (training provided as needed).
  • Alphabetical and numerical filing systems.
  • FERPA guidelines and standards for maintaining confidentiality.
  • Proficient use of computers, including email, word processing, and data-entry applications.
  • Strong customer-service and interpersonal communication skills.
  • Accurate typing, proofreading, and document handling.
  • Time management and ability to work in a fast-paced environment.
  • Work effectively with students, parents, staff, and the general public.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Follow written and verbal instructions with attention to detail.
  • Prioritize multiple tasks and adapt to changing needs throughout the school day.
  • Remain calm and professional during busy or stressful situations.
  • Ability to sit or stand for extended periods (up to a full workday).
  • Ability to lift, carry, or move items up to 25 pounds (e.g., boxes of supplies, paper).
  • Frequent reaching, bending, stooping, or crouching to retrieve or file documents.
  • Ability to operate office equipment such as a computer, phone, copier, and printer.
  • Visual acuity to read printed materials and computer screens.
  • Ability to communicate clearly in person, by phone, and in writing.

Nice To Haves

  • Previous office or customer-service experience preferred, especially in a school or public-service setting.
  • Bilingual skills preferred but not required.

Responsibilities

  • Serve as the first point of contact: Warmly greet and assist students, parents, staff, and visitors, ensuring a positive and professional atmosphere.
  • Manage communications: Answer and route multi-line phone calls, respond to general email inquiries, and direct individuals to the appropriate personnel.
  • Oversee visitor management: Process visitors through the school’s security/check-in system, verify identification, and issue visitor badges to maintain campus safety.
  • Distribute information: Manage the distribution of daily passes, forms, memos, mail, and other vital school communications.
  • Perform clerical duties: Execute general office tasks including filing, copying, scanning, laminating, document preparation, and accurate data entry.
  • Manage materials and inventory: Assist with tracking, ordering, organizing, and distributing office and classroom supplies.
  • Support substitute teachers: Coordinate daily substitute check-in, provide them with necessary keys/materials, and direct them to their assigned classrooms.
  • Assist with scheduling: Support school administration and staff by maintaining office calendars, scheduling appointments, and organizing meetings.
  • Process attendance: Assist with daily student attendance workflows, including processing late arrivals (tardy slips), early check-outs, and basic attendance reporting.
  • Provide office supervision: Safely monitor students who are waiting in the main office area, health room, or hallways (e.g., students waiting for pickup, experiencing minor disciplinary issues, or waiting for administration).
  • Assist with basic student needs: Provide basic health room support (e.g., distributing ice packs or band-aids, contacting parents for sick children) when the school nurse is unavailable.
  • Maintain strict confidentiality: Safeguard sensitive student records, health information, and staff data in strict compliance with FERPA and district policies.
  • Support emergency protocols: Assist staff and administration during school safety drills (e.g., fire, lockdown) and emergency situations as directed.
  • Perform other duties as assigned by the Principal or Office Manager to support the smooth and safe operation of the school.
  • Assists other personnel as may be required (e.g. coaches, counselors, teachers, staff, etc.) for the purpose of supporting them in the completion of their work activities.
