About The Position

Join Tacoma Housing Authority as an Office Administrator and make a real difference in the lives of families and individuals in our community. In this position, you’ll provide high-level administrative and operational support that helps maintenance and property management teams stay organized, responsive, and effective. Your work will directly contribute to the quality of service we provide to residents across Tacoma. This is a sunset, limited-term position expected to end June 30, 2028 and may end sooner or be extended depending on available funding and/or business needs.

Requirements

  • A high school diploma, GED or equivalent; Associate degree preferred.
  • 4 or more years’ experience in a high-level administrative capacity.
  • Strong organizational skills and ability to manage competing demands in a fast-paced environment.
  • Proficiency in Microsoft Office and ability to maintain both paper and digital systems.
  • Excellent verbal and written communication skills: Ability to interact professionally and respectfully with individuals from diverse backgrounds.
  • Ability to write clearly and effectively in English for emails, reports, and other documents.
  • Good judgement and strong ethics, and high commitment to maintaining confidentiality and integrity in all assignments.

Nice To Haves

  • Knowledge of housing assistance programs and HUD regulations (preferred).

Responsibilities

  • Create maintenance work orders in the system.
  • Coordinate with vendors, including scheduling and communication.
  • Provide general administrative support, including preparing letters, reports, and other documents.
  • Help with budgets and prepare mailings, including large or certified mailings.
  • Respond to inquiries by phone, email, or in person, from staff, clients, visitors, and other stakeholders.
  • Organize, update, and maintain files, records, and databases.
  • Prepare visual materials such as flyers, brochures, charts, and presentations for meetings and events.
  • Use and maintain office equipment like printers and copiers.
  • Order office supplies and check purchase records for accuracy and efficiency.
