About The Position

We are seeking a highly organized and proactive Office Administrator to provide dedicated support to a senior officer while ensuring the smooth day-to-day operations of the business unit and office environment. This role serves as a central point of coordination, helping drive efficiency, organization, and communication across the team. The ideal candidate is detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced, professional setting.

Requirements

  • 3+ years of experience in an administrative or office management role, preferably supporting senior leadership
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion handling sensitive information
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Ability to work independently and proactively in a dynamic environment
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations.
  • Ability to write reports, business correspondence and procedure manuals.
  • Ability to effectively present information and respond to questions from a variety of both internal and external sources.

Responsibilities

  • Provide comprehensive administrative support to a senior officer, including calendar management, meeting coordination, and travel arrangements
  • Prepare reports, presentations, and correspondence on behalf of leadership
  • Act as a liaison between the senior officer and internal/external stakeholders
  • Manage confidential information with discretion and professionalism
  • Oversee daily office operations to ensure an efficient and well-organized work environment
  • Coordinate internal meetings, events, and team communications
  • Support business unit workflows, tracking key deliverables and deadlines
  • Assist with budgeting, expense tracking, and invoice processing
  • Improve and maintain administrative processes to enhance productivity
  • Manage office supplies, vendor relationships, and facility needs
  • Support onboarding logistics for new hires (workspace setup, materials, coordination)
  • Maintain accurate records, filing systems, and documentation
