About The Position

Longview Farms is a progressive grower and shipper of a wide variety of Certified Organic fruit and vegetable crops as well as conventional fresh-cut daffodils, daffodil bulbs, pumpkins and hay. We are the largest Certified Organic farm on Vancouver Island, and our produce, flowers and bulbs can be found in several local retail stores throughout Vancouver Island and the mainland. Our farm is in the municipality of Central Saanich on Southern Vancouver Island which is on the West Coast of British Columbia. This area hosts some of the most productive farmland in Canada. We are currently seeking an Office Administrator to provide support for our Grower, Sales, Facility Maintenance and Finance teams.

Requirements

  • Proficient in MS Office applications, including Word, Excel, and Outlook.
  • Clear and concise communication abilities, issuing instructions and providing follow-up, monitoring, and correction as necessary.
  • Capable of working collaboratively with individuals at various organizational levels and with diverse levels of experience.
  • Ability to manage and maintain private and confidential information with a high degree of professionalism and discretion.
  • Adaptable, self-motivated, and capable of managing multiple priorities.
  • Proven service-oriented mindset.
  • Valid driver's license and reliable, working vehicle required.

Nice To Haves

  • Diploma or bachelor’s degree or in Business, Agriculture or related field preferred.
  • Minimum two years’ experience in an administrative or support role is considered an asset.
  • Experience with customer service, including Sage or other accounting/CRM software, is considered an asset.
  • Willingness to travel as needed.

Responsibilities

  • Serve as the first point of contact for the farm by managing incoming calls, emails, and onsite visitors in a professional and responsive manner.
  • Maintain office inventory, including ordering and restocking supplies, equipment, and services as required.
  • Perform accurate data entry and provide administrative support across teams, with a focus on supporting sales operations.
  • Identify opportunities to improve administrative processes and office organization and assist in implementing more efficient systems and workflows.
  • Support compliance efforts related to organic certification, food safety standards, and WorkSafeBC health and safety requirements, including maintaining documentation and records.
  • Coordinate scheduling, including meetings, deliveries, and service appointments.
  • Liaise with vendors, service providers, and customers to ensure smooth day-to-day operations.
  • Assist with internal communications to ensure alignment between grower operations, sales, finance, facilities and management.
