Who we are looking for: The Office Administrator will provide administrative support and assistance to the assigned branch.

Requirements

  • High School Diploma or equivalent required.
  • 2-5 years of relevant experience
  • Proficiency with general office software and equipment including Outlook, Word, Excel, PowerPoint publisher, Access, Adobe, fax machines, scanners, binding machines and copiers.
  • Ability to multi-task successfully.
  • Ability to maintain highly organized files/records
  • Ability to maintain a positive client-staff relationship
  • Ability to assist the Branch Manager with preparation for Client meetings.
  • Ability to work independently and within teams to achieve goals.
  • Excellent communication and presentation skills both oral and written.
  • Must be willing to participate in and pass F&R’s pre-employment screening including a background investigation, drug screening and driving record.

Responsibilities

  • Set up new clients, contacts and projects in the company’s project management system.
  • Assist in uploading project contracts.
  • Ensures Client Management System (CRM) budget for accuracy before transmission to Enterprise system (SL).
  • Coordinate and set up meetings by gathering dates and times that are convenient for internal and external staff and clients.
  • Answer phones and direct client inquiries to the proper staff members.
  • Input timecards and expense reports from staff into internal accounting software.
  • Compile invoices and credit memos in the company’s accounting software.
  • Distribute completed invoices via email, mail or upload in client portal.
  • Create purchase orders and subcontracts in the company’s accounting software.
  • Process all vendor invoices for payment to accounting.
  • Filing of project related data, correspondence, reports, etc.
  • Input data/reports into company’s web based reporting system.
  • On-board new employees and schedule drug testing in company system.
  • Complete work for assigned areas and provide assistance or coverage for coworkers as needed.
  • Perform a variety of other office support functions as assigned, demonstrating adaptability with changing priorities.
  • Other duties as assigned.
