About The Position

The Office Administrator will manage the day-to-day operations of our Vancouver, Canada office. This role is central to ensuring a professional, efficient, and welcoming work environment while providing administrative, travel, and event support to employees and visiting staff. The ideal candidate thrives in a fast-paced setting, can juggle multiple priorities, and maintains a high level of accuracy and confidentiality.

Requirements

  • High school diploma or GED
  • Minimum 1+ year of office administration or support experience
  • Working knowledge of travel and expense coordination
  • Strong organizational, multitasking, and time-management skills
  • Excellent verbal and written communication skills
  • Ability to work independently and adapt to changing priorities
  • High attention to detail and commitment to confidentiality
  • Valid Canadian driver’s license

Responsibilities

  • Manage daily office operations, ensuring a well-organized and fully functional workspace
  • Act as the primary point of contact: greet visitors, answer phones, and handle incoming mail and shipments
  • Maintain office supplies, coordinate printing needs, and oversee general administrative services
  • Support procurement processes, including purchase requisitions
  • Assist HR with new employee onboarding and office orientation
  • Coordinate on-site and off-site meetings, including room setup, logistics, and catering
  • Plan and support special events and team gatherings
  • Prepare correspondence, reports, and presentations, including handling confidential materials
  • Coordinate travel arrangements in line with company policy
  • Manage accommodations, transportation, and logistics for visiting staff
  • Maintain vendor relationships related to travel and office services
  • Ensure office facilities are maintained, safe, and fully operational
  • Coordinate maintenance requests and vendor services
  • Communicate any disruptions or planned maintenance to the leadership team
  • Support emergency procedures, including evacuation coordination
