About The Position

We are seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our office in a full-time, on-site capacity. As the Office Administrator, you will play a key role in maintaining office functionality, supporting staff and visitors, and managing administrative processes including scheduling, invoicing, and event coordination.

Requirements

  • Proven experience in office administration or office management
  • Strong organizational and multitasking abilities, with the ability to prioritize effectively
  • Excellent customer service skills, with a focus on supporting both internal teams and visitors
  • Experience managing orders, supplies, and vendor coordination
  • Ability to arrange catering and coordinate logistics for meetings and events
  • Basic analytical skills related to administrative processes
  • Comfort with light technical tasks such as monitor setup
  • Strong attention to detail, especially with invoicing, scheduling, and documentation
  • Excellent written and verbal communication skills

Responsibilities

  • Maintain office cleanliness and ensure all common areas and workspaces are organized, professional, and well-maintained
  • Monitor office supply inventory and manage ordering to ensure consistent availability
  • Welcome and support visitors, ensuring a professional and positive experience
  • Coordinate general office requests, including travel arrangements and team meals (breakfasts/lunches)
  • Process invoices and manage bill payments accurately and timely
  • Support basic IT-related tasks such as monitor setup and decommissioning
  • Manage scheduling for meetings, events, and internal activities
  • Plan and coordinate office events, including holiday parties and training sessions
  • Arrange catering for meetings and office functions as needed
  • Manage furniture requests, including ordering and occasional setup coordination
  • Handle shipping and receiving, including FedEx shipments and tracking deliveries
  • Oversee mail operations, including sorting incoming mail and preparing outgoing correspondence
  • Provide general administrative support to ensure smooth and efficient office operations
