About The Position

Ascend Back Office Solutions, Inc. is seeking an Office Administrator to support daily home care operations, including scheduling, recruiting, billing, and administrative and financial coordination. In this role, you will help ensure consistent caregiver coverage, maintain accurate records, and communicate promptly and professionally with clients and caregivers. Ascend Back Office Solutions supports Access NurseCare and At Home Nurses Care, home care providers serving Miami-Dade and Broward counties. Our teams deliver Medicare Home Health, Private Duty, and Care Management services, helping individuals receive compassionate care in the comfort of their homes.

Requirements

  • Ability to work independently, manage competing priorities, and meet deadlines in a fast paced environment.
  • Advanced technology skills, including proficiency with Microsoft Office, Google Workspace, and business and financial management systems.

Nice To Haves

  • Bachelor’s or master’s degree in business administration or a related field.
  • At least one year of experience in home health operations and office management.
  • At least two years of scheduling experience, preferably in healthcare, logistics, or home care.
  • Broad knowledge of federal and state home health regulations and administrative requirements.
  • Experience with Medicare and Private Duty home care.
  • Proficiency with WellSky or similar systems.
  • Bilingual proficiency in English and Spanish.

Responsibilities

  • Answer incoming calls professionally, assist clients and caregivers, and route inquiries to the appropriate team members.
  • Assist with billing and collections, send invoices by fax and email, and post payments accurately.
  • Manage caregiver recruiting and maintain compliance records.
  • Coordinate caregiver schedules based on client needs, caregiver skills, and availability.
  • Fill client shifts and resolve staffing gaps, call outs, and last minute schedule changes.
  • Confirm schedules daily and verify time and attendance accuracy.
  • Communicate with caregivers and clients to resolve scheduling and service issues.
  • Document interactions and maintain accurate scheduling records.
  • Support caregiver engagement through regular check-ins.
  • Assist with reporting, tracking staffing trends, and coordinating daily operations.
