The Office Administrator supports the daily operations of the New Tripoli branch through office administration, customer service, account support, and sales-related activities. This position works closely with customers, drivers, and branch personnel to ensure efficient operations, accurate records, and exceptional customer service.

Requirements

  • High School Diploma or equivalent required.
  • Proficiency with Microsoft Office 365 and ability to learn company-specific systems and software.

Nice To Haves

  • 2–3 years of office administration or customer service experience preferred; relevant experience may be considered in lieu of formal experience.
  • Industrial, welding, compressed gas, manufacturing, or related industry experience preferred.
  • Commercial repair facility experiences preferred.
  • Strong organizational, communication, and multitasking skills.
  • Excellent customer service and problem-solving abilities.
  • Strong attention to detail with the ability to prioritize and meet deadlines.
  • Valid driver's license and acceptable driving record preferred.

Responsibilities

  • Manage incoming calls, emails, customer inquiries, correspondence, and general office administration.
  • Process customer payments and maintain accurate administrative and financial records.
  • Assist customers with billing questions, accounts receivable inquiries, order status, and service needs.
  • Maintain branch inventory, customer information, and administrative systems.
  • Develop and maintain positive relationships with existing customers while identifying opportunities for account growth.
  • Promote welding equipment repairs and related products and services.
  • Prepare estimates, proposals, repair documentation, and other customer-related paperwork.
  • Assist with collections and resolution of billing issues.
  • Schedule and maintain efficient delivery routes for on-site drivers.
  • Support the Branch Manager with daily branch operations and other administrative needs.
  • Participate in quarterly sales meetings and monthly safety meetings.
  • Maintain current product knowledge and technical competency.
  • Perform other duties as assigned to support branch operations and customer satisfaction.
