About The Position

This is a part-time Office Administrator role (3 days a week) with a clear path to full-time for the right person. You'll be the first face people see, the reason the coffee is always fresh, and the reason a teammate feels taken care of from the moment they walk in. We're building toward a full-time hire as our office needs grow — this role is the foundation. You'll have real ownership from day one, with the opportunity to shape how office operations scale alongside the company.

Responsibilities

  • Greet and receive everyone who walks through the door — teammates, interviewees, VIPs, clients, and founders — with warmth and professionalism
  • Anticipate visitor needs and ensure every arrival feels intentional and well-prepared
  • Manage sign-in, badges, and visitor logistics from arrival through departure
  • Maintain a beautiful, organized, fully stocked office — supplies, kitchen, common areas, and workspaces
  • Own vendor relationships: coordinate with facilities, cleaning, catering, and delivery services
  • Flag and resolve maintenance issues quickly, keeping the space crisp and functional
  • Manage incoming and outgoing mail, packages, and office inventory
  • Be the go-to person for day-to-day employee requests — fast, reliable, and without dropping the ball
  • Support onboarding logistics for new hires: desk setup, access, welcome kits
  • Help coordinate in-office events, team lunches, and all-hands logistics
  • Handle ad hoc tasks with a solutions-first mindset
  • Document and improve recurring office workflows so nothing falls through the cracks as we scale
  • Identify operational gaps and proactively propose solutions before they become problems
  • Build and maintain simple tracking systems for supplies, vendors, and recurring tasks
