We are seeking a highly organized and proactive Office Administrator to support our growing advisor team in our Westbrook, CT office. This is a hands-on administrative role focused on client service, operational efficiency, and office management. The position will require independence, initiative, and adaptability. The ideal candidate will be comfortable working with teams, managing multiple tasks, and interacting with clients and advisors in a professional and welcoming manner.

Requirements

  • High school diploma required
  • 2–3 years in an administrative role, preferably within a fast-paced office or financial services environment.
  • Strong attention to detail and organizational ability.
  • Proactive mindset with minimal need for direct oversight.
  • Comfort using CRM systems
  • Excellent communication skills, both verbal and written.
  • Ability to work for extended periods at a desk using a computer.
  • Ability to lift up to 10 pounds if/when necessary.
  • Routine use of telephone and email.

Responsibilities

  • Serve as the first point of contact for clients, guests, and visitors, delivering an exceptional hospitality experience while creating a welcoming and professional first impression.
  • Welcome and register visitors, notify appropriate team members of arrivals, and ensure a seamless office experience.
  • Coordinate and confirm client appointments, including outbound confirmation calls and meeting logistics as needed.
  • Manage a multi-line phone system by professionally answering, screening, and directing incoming calls while providing outstanding customer service.
  • Maintain an organized, polished, and client-ready reception area, conference rooms, and shared office spaces.
  • Coordinate routine office maintenance and facilities requests, serving as the primary liaison with building management to ensure a safe, functional, and professional workplace.
  • Support the planning and execution of client events, team meetings, and office initiatives for the Westbrook location.
  • Maintain accurate and timely documentation by recording meeting notes and updating client information within Redtail CRM.
  • Prepare, organize, and maintain client files in accordance with company procedures and compliance standards.
  • Review applications and client paperwork for completeness, ensuring all required signatures, dates, and supporting documentation are obtained prior to processing.
  • Prepare, reset, and organize conference rooms to support client meetings, interviews, and internal events.
  • Monitor office inventory levels and coordinate ordering of office and kitchen supplies to ensure day-to-day operational readiness.
  • Provide general administrative support to advisors and internal teams, contributing to efficient office operations and an exceptional client experience.
