About The Position

The Johns Hopkins University Applied Physics Laboratory (APL) is seeking an Office Administrator to support the IT Operations organizations in the Force Projection Sector (FPS), including the Classified IT Infrastructure Group (KIT) and the IT Security & Customer Services Group (KIX). This role involves providing on-site administrative support to group supervisors, assistant group supervisors, section supervisors, and FPS IT Operations organization staff. The administrator will handle routine administrative matters such as scheduling meetings, managing staff calendars, ordering supplies, processing reimbursements, and arranging travel. Additionally, they will support other Operations groups as needed, process procurement requests for IT equipment and supplies, manage staff training requirements, assist with office moves and new staff onboarding, serve as the Group Property Associate, update operational information and reports, and contribute to the creation of standard operating procedures. The role also involves participating in operations initiatives and identifying opportunities for administrative improvements.

Requirements

  • High school diploma or equivalent.
  • 5+ years of administrative office experience.
  • Able to lift IT equipment and boxes weighing up to 25 pounds.
  • Proven track record of strong communication skills.
  • Demonstrated customer service mindset with a commitment to reducing administrative burdens for staff by providing proactive, responsive, and solutions-focused support.
  • Proficient in Microsoft Office suite products, particularly Excel, Word, PowerPoint and Outlook.
  • Self-starter who is able to independently prioritize tasks, exercise sound judgment and proactively resolve issues.
  • Demonstrated ability to work effectively under pressure and can easily and quickly adapt to changing priorities.
  • Flexible and supportive team member, willing to adapt to changing priorities and work well in a team environment.
  • Able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain Secret level clearance.
  • U.S. citizenship.

Responsibilities

  • Provide on-site administrative support to KIT & KIX Group Supervisors, Assistant Group Supervisors, Section Supervisors and FPS IT Operations organization staff.
  • Schedule meetings and manage staff calendars.
  • Order office supplies.
  • Process P-card and employee expense reimbursements.
  • Arrange travel.
  • Provide seamless support to other Operations groups and functions as needed.
  • Process procurement requests for IT equipment and supplies, including receipt, delivery, and distribution.
  • Process the shipment of IT equipment to FPS field offices and other locations.
  • Manage and track certification and training requirements for all FPS IT Operations staff.
  • Assist in the logistics of all FPS IT Operations staff office moves.
  • Actively participate in the on-boarding activities for all new FPS Operations staff members.
  • Serve as the Group Property Associate for the KIT and KIX groups, ensuring all property is current and accounted for.
  • Process surplus property requests and assist in the Lab's required wall-to-wall inventory process.
  • Assist in updating Sector IT and Security operations-related information and reports.
  • Update and distribute weekly status reports.
  • Send regular FPS IT Operations communications to the Sector.
  • Serve as a member of the FPS Operations Organization Central Admin team and work with other administrators to create standard operating procedures and achieve common objectives.
  • Actively participate in operations initiatives and proactively seek opportunities to make the group and FPS more effective by identifying new/improved administrative procedures.
