About The Position

This role involves managing office procedures, supporting new employees, coordinating schedules, assisting with presentations and travel, and serving as a primary point of contact for visitors and calls. The position also includes leading volunteer outreach, managing office supplies and records, and coordinating interviews. Additionally, the role is responsible for planning local events, ensuring office messaging aligns with company standards, and assisting with administrative tasks related to client reports and project documentation.

Requirements

  • HS Diploma w/ Preference for Associates Degree or Higher
  • 2 Years or more related Experience

Responsibilities

  • Communicate with Office Lead/Program Manager and ensures the proper flow of office procedures
  • Manage new employee badging and correspondence with the building owners / security.
  • Manage conference room schedule.
  • Assist in proposal development and presentations (MS Word and MS PowerPoint).
  • Assist in travel authorizations and arrangements.
  • Primary point of contact for incoming phone calls or visitors.
  • Lead outreach efforts for volunteer work.
  • Manage incoming and outgoing parcels.
  • Develop meeting agendas and assists with meeting minutes for internal CEPC meetings and meetings at our office which clients will be attending.
  • Manage office supply needs and orders.
  • Maintain accurate records for time-off calendar.
  • Assist with photocopying and records data as needed.
  • Distribute HR materials to staff and assists with on-boarding/off-boarding as needed.
  • Coordinate interviews with hiring managers and candidates.
  • Plan/organize local CEPC events including meetings, company events, client meetings and other community and business activities.
  • Ensure local office maintains messaging consistent with CEPC standards, including dissemination and publishing of Mission Statement, Pledge for Excellence and marketing collateral material.
  • Assist in preparing weekly Deltek reports for client approval.
  • Assist in preparing project budgets, project request forms for Deltek, setting up folder structure and managing project documentation.
