About The Position

Rapid growth at Veeco's Horsham operations requires an office environment that keeps leaders, employees, customers, and vendors connected while complex semiconductor manufacturing work moves forward. As an Office Administrator, you will own daily administrative coordination across a multi-site operation and use sound judgment to resolve moderately difficult issues with limited day-to-day instruction. Your work will strengthen the employee and customer experience, improve the readiness of leadership meetings and site events, and keep workplace services organized as Veeco expands its Precision Surface Processing capabilities. You will build reliable office practices and shape an engaging, safe, and professional workplace for the teams delivering Veeco's wet etch and clean systems.

Requirements

  • High school diploma or equivalent required.
  • Min 2 years (4+ preferred) of related experience in administrative coordination, office operations, office management, or executive support.
  • Experience coordinating meetings, customer visits, executive events, or site-wide activities in a corporate or manufacturing workplace.
  • Ability to work on-site five days per week in Horsham, Pennsylvania.
  • Proficient with Microsoft Outlook, Word, Excel, and PowerPoint for scheduling, communications, records, presentations, and routine office tracking.
  • Skilled at planning meetings, visits, and events from intake through follow-up while balancing schedules, facilities, access, catering, travel, and expense details.
  • Applies sound judgment to moderately difficult administrative issues and recommends practical solutions when established practices do not fully address the situation.
  • Writes clear, accurate site communications for employees and leaders and adapts messages for customers, vendors, and external partners.
  • Builds productive working relationships across Human Resources, Facilities, Information Technology, and site leadership without relying on formal authority.
  • Handles confidential and sensitive information with discretion and consistent attention to access, accuracy, and audience.
  • Organizes competing priorities independently, identifies risks early, and closes follow-up items with limited day-to-day instruction.

Responsibilities

  • Own daily office operations across a multi-site environment, keeping supplies, mail, purchasing, vendors, and administrative services organized and responsive to business priorities.
  • Deliver well-run leadership meetings, customer visits, and executive events by coordinating schedules, agendas, catering, conference rooms, visitor access, travel, and expense documentation from planning through follow-up.
  • Create a welcoming, professional first experience for visitors, customers, vendors, and callers while protecting confidential information and following site access practices.
  • Lead site-wide employee engagement activities, recognition programs, and employee meetings that strengthen connection and participation across the workplace.
  • Draft and distribute accurate site communications, announcements, and leadership updates so employees receive clear and timely information.
  • Advance workplace safety and preparedness through active service on the Site Safety Committee and Emergency Response Team.
  • Coordinate decisions and handoffs across Human Resources, Facilities, Information Technology, and site leadership, recommending practical solutions when office needs fall outside routine practice.
