About The Position

The Office Administrator serves as the operational backbone of the office, providing administrative, business development, financial, and facility support to ensure the smooth day-to-day operation of the business. This role partners with company principals and staff to support project pursuits, maintain office operations, coordinate administrative processes, and deliver a positive experience for employees, clients, and visitors.

Requirements

  • High school diploma or equivalent
  • 3+ years of experience in an administrative, office management, coordinator, or business support role.
  • Strong organizational skills with the ability to manage multiple deadlines and competing priorities.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Strong written communication skills with experience preparing, editing, and formatting professional documents.
  • Ability to maintain accuracy and attention to detail while handling administrative, financial, and compliance-related tasks.
  • Strong customer service and interpersonal skills with the ability to work effectively with employees, clients, vendors, and leadership.
  • Ability to work independently, exercise sound judgment, and handle confidential information appropriately.

  • Associate's degree in Business Administration, Communications, Marketing, or a related field preferred.

Responsibilities

  • Prepare and coordinate proposals, Statements of Qualifications (SOQs), resumes, and other client-facing pursuit materials.
  • Assist with project specification documents and submittal tracking.
  • Complete vendor onboarding documentation and setup requirements.
  • Provide scheduling, coordination, and administrative support for principals and leadership.
  • Prepare reports, presentations, and other business documents.
  • Track professional licensing and credential requirements for principals.
  • Answer incoming calls and manage office correspondence.
  • Assist with check deposits and monthly credit card reconciliations.
  • Coordinate Certificates of Insurance (COIs) and related documentation.
  • Support preparation of monthly safety reports and other compliance-related reporting.
  • Ensure office utilities and recurring vendor services are maintained and paid on time.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate lunch-and-learn sessions, meetings, and office events.
  • Handle incoming and outgoing mail, deliveries, and shipping needs.
  • Support day-to-day office needs to maintain an organized, efficient, and welcoming workplace.
  • Perform other administrative and operational responsibilities as assigned to support business and office needs.
