About The Position

The Office Administrative Assistant is responsible for the overall organization and operations of the administrative and organizational needs of Telle Tire & Auto Centers Corporate Office. The Office Administrative Assistant is responsible for providing administrative support to all departments as well as notable paperwork and filing. The focus is to ensure all required tasks are completed in a timely manner to minimize interruptions on day-to-day business operations at Corporate and Store locations by proactive planning, prompt action and on-going support as needed. The general scope includes, but is not limited to:

Requirements

  • Two (2) years of vocational training that provided knowledge of generally accepted office procedures; or, six (6) semester hours of college level Business; or, sixty (60) semester hours of college course work in Business Administration or a closely related field. (May be substituted for and/or added together with up to two (2) years of Experience listed below.)
  • Three (3) years of work experience performing general clerical work comparable to the next lower level in this series. (Up to two (2) years may be substituted for and/or added together with the Education requirements listed above.)
  • Knowledge of MS Office products (Basic level)
  • Knowledge of General business acumen
  • Knowledge of Mathematics (Basic level)
  • Operate and maintain electronic and/or standard office equipment
  • Proactive in handling tasks and assisting leadership
  • Professional and consistent / dependable in attendance
  • Excellent organizational skills
  • Ability to work independently
  • Communicate effectively, orally and in writing
  • Maintain files and records
  • Work with frequent distractions
  • Follow written procedures and guidelines
  • Maintain confidentiality
  • Customer service and dealing with a wide variety of people at all levels

Responsibilities

  • Greet guests in a professional and courteous manner
  • Answers phone and take messages for applicable personnel to respond to
  • Provide excellent customer support, both in person and on phone
  • Filing and organizing documents, both physical and electronic
  • Administrative duties including: Filing, Typing, Copying, binding and scanning, Scheduling, Creating gift certificates, sending logos, etc.
  • Assist other departments with data entry and creating general correspondence
  • Audit store documentation received and identify discrepancies
  • Run weekly A/R report
  • Maintain office inventory and supply ordering
  • Set-up in person and virtual Zoom/Teams meetings, including: Preparation of conference room for all leadership meetings, Ordering meals/refreshments/drinks, Flight and hotel bookings, Corporate event support and planning, Ensuring the technology needs for each meeting are available and set up
  • Support range of tasks associated with acquisitions
  • Conduct a wide array of general office administrative tasks
