About The Position

We are seeking a highly organized, trustworthy, and proactive Office Administrator to support our San Diego office operations. This role is critical to maintaining a professional, efficient, and well-run office environment while providing administrative, operational, and cross-functional support to employees and leadership. The ideal candidate is bilingual in English and Mandarin, detail-oriented, service-minded, and capable of handling confidential information with discretion and integrity.

Requirements

  • Fluent in English and Mandarin (written and verbal)
  • Valid U.S. work authorization
  • Minimum 2 years of experience in office administration, executive support, or similar administrative role
  • High level of integrity and professionalism; ability to handle confidential and sensitive information responsibly
  • Strong organizational and time-management skills with ability to prioritize multiple tasks
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently in a fast-paced environment with minimal supervision
  • Strong attention to detail and commitment to accuracy

Responsibilities

  • Manage front office responsibilities including reception, phone calls, emails, visitor coordination, and general office support in English and Mandarin
  • Maintain office organization, cleanliness, and professionalism; oversee office supplies, kitchen inventory, mail/packages, and workspace readiness
  • Coordinate office maintenance and serve as primary liaison with building management, vendors, and service providers
  • Coordinate meetings, conference room scheduling, travel arrangements, and logistics for visitors/executives
  • Maintain organized digital and physical filing systems, records, and office documentation
  • Assist with preparation and translation/proofreading of internal documents and communications as needed
  • Support onboarding logistics for new hires, including workspace setup and orientation coordination
  • Assist with attendance tracking, invoice processing, expense reconciliation, and vendor invoice submissions
  • Maintain accurate administrative records and support compliance with internal approval and purchasing processes
  • Support planning and execution of office events, employee engagement activities, team celebrations, and local company meetings
